("NeitClem," "we," "us," or "our") is committed to protecting the privacy of individuals who visit our website at neitclem.com (the "Site") and those who interact with us through our online forms, email correspondence, and phone communications. This Privacy Policy describes what information we collect, how we use it, to whom we may disclose it, and the choices available to you with respect to your information.

This policy applies to all users of the Site, including licensed insurance agents, brokers, and producers who submit applications, quote requests, or other inquiries through the Site. By using the Site, you consent to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the Site and refrain from submitting any personal information.

2. Information We Collect

Information You Provide Directly

When you complete a contact form, quote request, agent application, or similar submission on our Site, we may collect your full name and professional title, agency or firm name, business mailing address, business phone number and email address, insurance license information including your resident state, state license number, and National Producer Number (NPN), Errors & Omissions policy details including carrier, policy number, and coverage limits, annual premium volume and business profile details, and any other information you voluntarily provide in free-text fields or in written communications directed to us.

Information Collected Automatically

When you visit the Site, our web hosting infrastructure and analytics systems may automatically collect certain technical data. This includes your device's IP address, browser type and version, operating system, the pages you visit and the time spent on each, the URL of the page that referred you to our Site, and the date and time of your visit. This technical data is used for operational, security, and performance purposes and is not individually linked to your personal identity in our business records.

3. How We Use Your Information

We use the information we collect for the following purposes. We respond to your quote requests, coverage inquiries, and other communications submitted through the Site. We review and process agent applications and manage ongoing agent relationships. We communicate with you regarding submissions, applications, underwriting decisions, and account activity. We improve the functionality, content, and user experience of the Site. We comply with applicable federal and state laws and insurance regulations, including record-keeping obligations imposed by California insurance law. We protect the security, integrity, and lawful operation of the Site and our business.

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We do not use personal information collected through this Site for behavioral advertising or data resale activities.

4. NeitClem Risk Map and Risk Alerts

The NeitClem Risk Map is free to use without signing up. NeitClem Risk Alerts is an optional email service that tells you when a wildfire, an official weather warning, a tornado report, or a significant earthquake is reported within 5 miles of a property you register. This section explains how we handle information for these two services, in addition to the rest of this policy.

Addresses You Search on the Risk Map

When you search an address, we use it to look up public hazard data for that location. To find the location and the business at that address, the address is sent to Google Maps Platform. Search results may be kept in a temporary cache, without your name or contact details, so repeat searches load faster. If you copy a link to a search, the address is placed in the part of the link that your browser does not send to our server.

What We Collect When You Sign Up for Risk Alerts

When you sign up for Risk Alerts, we collect your first and last name, email address, the role that best describes you (such as insured or business owner, agent or broker, or carrier or company), and, if you choose to provide them, your company name and phone number. For each property you register, we store its street address, any label you give it, its map coordinates, and the National Weather Service forecast zones and time zone for that location. We also record your consent choices with the date and the version of the wording you agreed to, when you signed up and confirmed your email, whether you signed up from the Risk Map or the Risk Alerts page, and a record of which alerts we have sent you and when. To prevent abuse, we keep short-lived counts of sign-up attempts linked to a one-way coded form of your IP address, not your IP address itself.

How We Use It

We use this information to confirm your email address, to check public agency data for events near your registered properties, and to send you alert emails and messages about your alerts, such as confirmations and changes you make. Alerts are sent only after you confirm your email address.

Contact about insurance is a separate, optional choice. Only if you tick the box "NeitClem may contact me about insurance" may NeitClem contact you about insurance products and services. This choice is not required to receive alerts, it takes effect only after you confirm your email, and you can withdraw it at any time from the manage link in any alert email or by contacting us. If you do not tick the box, we will use your details only to provide Risk Alerts.

Authorized NeitClem staff can view the list of Risk Alerts sign-ups in an access-controlled internal system to operate the service and, for people who agreed to be contacted, to follow up with them.

Service Providers and Public Data Sources

To provide Risk Alerts, the address you register is sent to Google Maps Platform to find its location, and its map coordinates are sent to the National Weather Service to identify the forecast zones that cover it. Alert emails are delivered through our email service provider. Hazard information comes from public agencies, including the National Interagency Fire Center, CAL FIRE, the National Weather Service, the Storm Prediction Center, the National Hurricane Center, and the U.S. Geological Survey. We do not send your name or email address to these agencies, and we do not sell or rent Risk Alerts information.

Your Choices, Retention and Deletion

Every alert email has a link to manage your alerts, where you can add or remove properties, change your contact choice, or unsubscribe, and a one-click unsubscribe link. Alert emails do not contain tracking pixels.

If you do not confirm a sign-up, the unconfirmed property is deleted about a week after the confirmation link expires. When you unsubscribe, we delete your registered properties and alert history and turn off contact about insurance. We keep your name, email address, and the dates of your consent and unsubscribe request so we can honor that request and show what you agreed to. To have this record deleted as well, contact us using the details in the "Contact Us" section, and we will delete your sign-up, properties, and alert history.

5. Disclosure of Information

We may share your information in the following limited circumstances. With insurance carriers, underwriters, and wholesale markets, but only to the extent necessary to evaluate and process a risk submission or coverage inquiry you have directed to us. With third-party service providers — such as web hosting companies, email delivery services, and IT support vendors — who assist us in operating the Site and conducting our business, subject to contractual confidentiality obligations. As required by applicable law, regulation, legal process, or governmental request, including responses to regulatory inquiries from state Departments of Insurance or the NIPR. With your consent or at your direction, such as when you authorize us to share your information with a specific market or underwriting contact.

We do not disclose personal information to unaffiliated third parties for purposes unrelated to the services described above without your explicit consent, except as required by law.

6. Data Security

We implement reasonable and appropriate administrative, technical, and physical safeguards designed to protect personal information in our possession against unauthorized access, disclosure, alteration, loss, or destruction. These measures are designed to be commensurate with the sensitivity of the information we hold and the nature of our operations as a wholesale insurance intermediary.

However, no method of data transmission over the internet and no method of electronic data storage is completely secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security. If you believe that any information you have provided to us has been compromised, please contact us immediately using the information provided at the end of this policy.

7. Retention

We retain personal information for as long as reasonably necessary to fulfill the purposes described in this policy, comply with our legal and regulatory obligations, resolve disputes, and enforce our agreements. Agent application information and related correspondence may be retained as part of our business records in accordance with California insurance regulations and applicable record-keeping requirements. When information is no longer required for these purposes, we will take reasonable steps to dispose of it securely.

8. California Privacy Rights

If you are a California resident, you may have certain rights with respect to your personal information under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA). These rights include the right to know what categories and specific pieces of personal information we have collected about you, the right to request deletion of your personal information subject to certain exceptions, the right to correct inaccurate personal information we hold about you, the right to opt out of the sale or sharing of your personal information — note that NeitClem does not sell personal information — and the right not to receive discriminatory treatment for exercising any of these rights.
